Your knowledge base is a small, fixed set of files that hold the facts about your agency and your websites: who you are, how you sound, what you sell, what keeps your marketing compliant, and how you run the business. Skills hold the instructions; these files hold the facts every skill reads before it writes anything.

Where to find it

Open Tools and click Knowledge base (next to Upload skill and Skill templates, or the Knowledge base filter). The top of the page shows how many of the standard files you have, for example 3/15.

The standard files

Every agency gets the same list of 15 files, in three groups:

  • Site knowledge base (7): KNOWLEDGE-BASE.md (the index and the open-questions list), BRAND.md, VOICE.md, STRATEGY.md, SCOPE.md, COMPLIANCE.md, CONTENT-LOG.md.
  • Service files (5): services/crm.md, services/ads.md, services/social.md, services/voice-agents.md, services/commissions.md. Only for a service you actually buy.
  • Agency knowledge base (3): KNOWLEDGE-BASE.md, the business/ folder (company, offers-and-pricing, team, clients, systems, tools-and-accounts, voice, rules) and the processes/ folder.

Each card says what the file holds, which skill builds it (for example kb-brand-builder), when it should be updated, and whether you have it: Present, Missing, or Present · rename when it is saved under an older name such as brand.md.

Where the files live

In your Vault, under knowledge-base/, so the Files page shows them too. If you run several websites, each one's site files go in knowledge-base/sites/<domain>/, and a site picker appears on the Tools page. Your agency files always stay at knowledge-base/. The files are yours alone; no other agency can see them.

Filling it in

  • Let a skill build it. Ask any agent or the War Room, for example "build our brand knowledge file". The kb-*-builder skills read your website and documents and write the file. knowledge-librarian keeps the set small and current.
  • Write it yourself. Click Write it or View / edit on a card. Anyone in your agency can edit; every save is logged.

The rules: facts from evidence only (your site, documents, your own answers), never a guess; no passwords, keys or client personal data; start each file with a Last reviewed: YYYY-MM-DD line and a Sources: line. A new topic goes into a section of the closest existing file, never a new file, so the view only saves the standard file names. Missing files are never created for you as blanks.

From agents and Claude Code

Agents, teams and connected clients (Claude, Cursor, Claude Code) with the vault spoke get kb_status, which returns the same list with each file's status and vault path. They read and save the files with vault_read and vault_write.
